July 15, 2019
Regular Meeting

The regular meeting of the SGV Steering Committee was called to order by Permit Holder Michael Daugherty at Churchill Street Recreation Center at 9:05 a.m. on Monday, July 15, 2019 with the following members present:  Michael Daugherty (Permit Holder), Judy Stafford (Recording Secretary), Jim Boylan (Treasurer), Pat Duffey (Social Director), Lou Ann Divens (Sunshine), Alexis London (Executive Golf), Barb Burgio (18-Hole Golf), Liz Helsel (Nine and Dine) and Tom Boylan (Charities)

Absent:  Debbie Ekback (Member Services), and Tony Carvalho (Member-at-Large). 

Minutes of the March 18, 2019 meeting were previously approved via email. 

Pat Duffey is now the Assistant Permit Holder which makes her position as Social Director a lot easier with dealing with the Recreational Centers. 

Social: Pat advised everything is going great.  The suggestion box has been redone and will be at each monthly meeting/social.  Plus members should be advised that they can talk to any member of the Steering Committee about their suggestions or concerns.  Pat reviewed the upcoming socials:  July - Sock Hop; August – Trivia; Sept – Dance with Suzy Costa; Oct & Nov are open for now and committee is looking into obtaining bands for these meetings. 

Seabreeze and Churchill Street Recreational Centers will notify us when they organize their calendars for next year and Michael will respond to their correspondence. 

­­Charity: Tom thanked those individuals who helped collect and deliver food items to food bank.  He ran a recruiting demo for new golf coordinators which went well.  We may have a few new golf coordinators.  Time will tell. 

18-Hole Championship Golf: Barb stated all is going well.  She is handing out $10 awards for closest to the pin winners and this is well received versus the previous sleeve of balls.  Starting in September she may keep The Villages Championship courses in the mix until the end of December due to their lower rate and do 1 event inside The Villages and 1 event outside The Villages. 

Nine and Dine: Liz advised that she is considering not having winter Nine and Dine from October-May.  Stay tuned for further information. 

Changes to No-Show policy for 18-Hole Championship Golf and Nine & Dine were revisited and it was decided by the Directors for those venues that the No-Show policy will remain the same. 

Executive Golf: It was determined that members who sign up to play golf should pay their $2.00 prize money contribution before play begins and should play the full nine holes (weather or sickness permitting).  If a member leaves prior to completion of the golf round, he/she could be subject to a 30-day suspension.  If round is suspended due to foul weather, prize money contribution should be returned to players prior to their leaving the course if possible. 

Treasurer: Jim reviewed the budget/expenses.  Discussion was held. 

Barb made a motion, seconded by Lou Ann to increase the monthly allotment for 18-Hole Championship Golf and Executive golf from $20 to $50 each for the period July 2019 through end of March 2020.  (This is an additional $30 each or $60 per month x 9 months for $540 added to the budget).  Motion passed unanimously. 

Barb made a motion, seconded by Pat that we refund $10 at the door for the July social to those members in attendance (guests not included).  Motion passed unanimously.  Pat needs to let Jim know a couple days in advance of meeting how many $10 he needs to have on hand. 

Barb made a motion, seconded by Alexis that the Hole-in-One award for members only participating in a SGV sponsored event be increased from $50.00 to $100.00.  Motion passed unanimously. 

Lou Ann made a motion, seconded by Tom that the SGV Club’s portion of the 50/50 raffle for the next four (4) meetings/socials (June, July, August and September) be divided between the Wildwood Soup Kitchen and the Food Pantry instead of going into the Treasury.  Motion passed unanimously. 

Sunshine:  Lou Ann reviewed those members to whom she has sent cards. 

Recording Secretary:  Judy asked if PayPal account statements are still coming into webmaster@sgvclub.com addressed to Dennis Gaucher or if this has been corrected.  This will be looked into.  She reminded Michael that we need to announce at the July meeting/social that we still need a photographer.  No pictures have been posted the past 2 months.  Judy will check with Tisha Vogell to see if she has some picture we can use. 

As a matter of housecleaning, Judy brought up that the by-laws need to be corrected to match the changes made at the March 18, 2019 meeting where we voted to change when dues are collected and when lottery meeting and orientation will be held.  Steering Committee authorized her to make this change. 

The OLD BYLAW read:

     9. Membership renewal dues will be collected electronically via PayPal between January 1 and March 31.  If new members can be accommodated after the renewal period, open enrollment for new members will be held in late April.  New member dues will include a fee for member badge and will be due within 10 days of application.

The NEW BYLAW will read:  (changes underlined)

9.  Membership renewal dues will be collected electronically via Pay Pal between January 1 and the end of February.   If new members can be accommodated, their open enrollment will be held March 1-March 31.  Lottery draw, if needed, will be held the first week in April and new member orientation will be held as soon as possible thereafter.  New member dues will include a fee for member badge and will be due within 10 days of being invoiced.  A new member may begin participating in Club activities as soon as receipt of his/her dues is confirmed by Pay Pal and the new member is notified.  

Permit Holder: Michael made a motion that Judy Stafford and Pat Duffey be added to the Executive Committee to bring the total to 5 per the by-laws. The others currently on the committee are Michael Daugherty, Debbie Ekback and Barb Burgio.  Motion passed unanimously. 

The status of the website update was discussed.  Barb will contact Fran Romeo and get back to us. 

Michael brought up how he handles no-shows.  There will be no change in procedure. 

Michael met with 3 people at the Villages Golf Academy on April 17 to see if we could set up a series of lessons, Scramble with the Pros, or a Himilayan Putting contest as we have done in the past.  In Michael’s discussion with the Golf Academy, they were unaware of the number of singles in this group, as well as the American Singles Golf Association in The Villages.  Bradley Andrews responded back to Michael on June 12 indicating that The Golf Academy was willing to do a weekly 1-hour lesson for $25 (4-10 people in a class).  Time would be 7:30-8:30 M-F or 8-9 M-F.  Can’t do anything after 9:00 am due to Junior golf lessons.  The Steering Committee agreed that the proposal was insufficient and Michael will respond back to the Golf Academy thru Bradley for those items that had not been addressed in the initial proposal.   Pat advised that Cris Stelling is working to do a Himilayan putting contest the 3rd week in October.  Barb offered to help her with this.  Apparently there is now a way to sign up online to use the Himilayan putting green. 

Discussion was held as to status of SGV Club and members’ participation and satisfaction.

Barb made a motion, seconded by Pat that the meeting be adjourned.  All approved.  Meeting adjourned at 11:08 am. 

The next SGV Steering Committee meeting will on Monday, Sept. 16 at 9:00 am at Churchill Street Recreational Center.

REGULAR MEETING


The regular meeting of the SGV Steering Committee was called to order by Permit Holder Michael Daugherty at Churchill Street Recreation Center at 9:05 a.m. on Monday, March 18, 2019 with the following members present:  Michael Daugherty (Permit Holder), Carrie Crowell (Charities, Photography), Judy Stafford (Recording Secretary), Jim Boylan (Treasurer),  Debbie Ekback (Member Services), Lou Ann Divens (Sunshine), Alexis London (Executive Golf), Barb Burgio (18-Hole Golf), Liz Helsel (Nine and Dine) and Tony Carvalho (Member-at-Large).

Absent:  Pat Duffey (Social Director)

Minutes of the January 21, 1019 meeting were previously approved via email. 

Sunshine – Lou Ann reviewed some of the people to whom she had sent cards for illnesses or other reasons. 

                                                 

Charities/Photography – This will be Carrie’s last meeting.  Everyone thanked her for a job well done over the years.  Carrie said she had 5 people come forward to help with either charities or photography.  It was decided to divide the two positions.  The Charities position will be held by Tom Boylan and will be a Steering Committee position.  The Photography position (not a Steering Committee position) is not filled yet, but Tisha Vogell volunteered to help out part-time.  We are still looking for a full-time replacement. 

Treasurer – Jim submitted the proposed budget for 2019-2020 which was reviewed and discussed.  Barb made a motion that we accept the budget as submitted, seconded by Alexis.  Motion passed unanimously. 

Executive Golf – Alexis advised that there are 9 coordinators now and 1 possible new recruit. 

18-Hole Championship Golf – Barb needs another coordinator.  Everything is going well.  Ken Moreau is willing to run 18-Hole priority-only golf if we thought there was enough interest.  Dennis Gaucher would like to see a Wednesday 18-Hole friendly golf event (no organized game and no social).  If Dennis or someone else wants to run this, they are welcome to organize it and run it by Barb. 

At Large - Tony went over the new Fewest Putts Shamble game he wants to instigate.  He made a motion that this new game be accepted, seconded by Jim Boylan.  All approved.  This game will be added to the Golfing With SGV section of the website.  Judy, Barb and Alexis will work on the wording to go on the website.

Nine and Dine – Only 22 signed up for Nine and Dine for March 21.  Liz made the decision to not have Nine and Dine in April.  The summer session will start in The Villages on Wednesday, May 1. 

Membership – Deb advised that as of 3/18/19 we have 575 members, 510 renewed, leaving 65 openings.  14 people reapplied from last year and will have automatic entry into the Club.  This leaves 51 openings to go into the lottery.  We received 158

applications.  These numbers could change as the application and member renewal process does not close until March 31. 

Deb made a motion to increase the membership to 600, seconded by Tony.  Motion failed. 

The membership lottery will be held Saturday, April 6 at 9:00 am at Seabreeze Recreational Center in the Clearwater Room.  Member orientation meeting will be held Saturday, May 4 at 1:30.  Michael will make arrangements to set up a meeting room. 

Alexis made a motion, seconded by Lou Ann, that the Club change the schedule for accepting new member applications, as well as renewing current members’ dues, to the period January 1 through end of February.  The lottery meeting would then be in March and orientation meeting in late March or first week in April.  Motion was approved unanimously.  

Permit Holder - Michael met with Fran Romeo and gave her our check for developing the new website.  He will keep communicating with her. 

Michael said he contacted The Villages Insurance and several other clubs and discussed liability insurance to cover the Club and Steering Committee members.  The cost would be approximately $2600 per year and does not cover bodily injuries should someone be hurt.  This issue was discussed.  Michael made a motion seconded by Tony that we not pursue liability insurance for the Club at this time.  Motion passed unanimously.  

The suggestions collected from the February Social/Meeting were reviewed and discussed.  Lou Ann and Pat will present these at the March Social/Meeting with Steering Committee recommendations. 

Google email is going from $5 to $6 per year. 

Michael reminded everyone that the April Social/Meeting will be on Saturday, April 27 due to Senior Games being played in The Villages and unavailability of the normal meeting room on last Thursday of the month.  

Tony made a motion, seconded by Judy that the meeting be adjourned.  All approved.  Meeting adjourned at 11:05 am. 

The next SGV Steering Committee meeting will on Monday, May 20, 2019 at 9:00 at Churchill Street Recreational Center.

10/29/2018 - SPECIAL MEETING

The special meeting of the SGV Steering Committee was called to order by Permit Holder Michael Daugherty at the home of Alexis London at 10:06 am on Monday, October 19, 2018 with the following members present:  Michael Daugherty (Permit Holder), Val Hirsch (Asst. Permit Holder, Social Chair),  Judy Stafford (Recording Secretary), Jim Boylan (Treasurer),  Debbie Ekback (Member Services), Alexis London (Executive Golf),  Barb Burgio (18-Hole Golf), and Tony Carvalho (Member-at-Large).

Absent:  Carrie Crowell (Charities, Photography), Del Walters (Representing Seasonal Members) and Lou Ann Divens (Sunshine).

This was a special meeting called by Permit Holder Michael Daugherty to discuss Nine and Dine.  Michael advised that there are a set of rules by which the Steering Committee has to abide.

Much discussion was held.                                    

Tony made a motion, seconded by Alexis that the last 2 sentences of Bylaw 2 be removed.  The motion passed by a vote of 5 to 3. 

OLD BYLAW:      Article I.2.  "The mission of the group is to provide a venue for single golfers who are
                        residents of the Villages to meet one another and participate collectively in a variety of
                        recreational activities.  It is understood that members may request a cart partner for
                        Nine and Dine outings only. Members may not request a team foursome."

NEW BY-LAW:    Article I.2.  “The mission of the group is to provide a venue for single golfers who are
                        residents of the Villages to meet one another and participate collectively in a variety of
                        recreational activities."

Discussion was held on what transpired at the September 19th Nine and Dine outing which resulted in Liz Helsel sending in a resignation letter as Nine and Dine Golf Chairperson.  Debbie Ekback read a statement from Liz as to her interpretation as to what transpired.  Further discussion was held. 

Tony made a motion seconded by Barb that the Steering Committee reject Liz Helsel's resignation and ask her if she would consider continuing as Nine and Dine Golf Chairperson.  The motion passed by a 5 to 2 margin (Jim had to leave the meeting before this item was brought up).  Michael will contact Liz and ask her if she will stay on.

Permit Holder, Social Chair), Carrie Crowell (Charities, Photography), Judy Stafford (Recording Secretary), Jim Boylan (Treasurer),  Alexis London (Executive Golf), Liz Helsel (9 and Dine Golf), Barb Burgio (18-Hole Golf), and Tony Carvalho (Member-at-Large).
Absent:   Debbie Ekback (Member Services),  Lou Ann Divens (Sunshine) and Del Walters (Representing Seasonal Members) 
The minutes of the July 16, 2018 meeting were approved.  
Michael asked Barb in the future to transfer money from Pay Pal to the Treasury  the day after registration closes for our monthly socials.  
Tony would like to see new members more involved.  
Nine and Dine - Liz plans on holding a meeting after the 1st of the year for volunteers for Nine and Dine coordinating.  The summer participation has been phenomenal.  There was lots of rain but worked around it.  She is looking at Orange Blossom and others for the winter months and will let us know.  
18-Hole Championship Golf - Barb advised that no-shows are down and she is having good attendance.  Fall and winter dates have been emailed out to membershIp with new rules explained.  
Alexis and Barb will work on updating Golf Events page on website.  
Barb is also working on updating Code of Conduct 

Val made a motion that any changes to golf games should be brought before Steering Committee  before instituting them.  Jim seconded and motion passed.  
Val made a motion seconded by Barb that we incorporate 2 new rules for 18-Hole Champioship golf only:  (1) Tee designation to be based on age plus handicap and (2) limit of maximum amount of shots allowed.  Discription of these changes already went out in an email to membership.  Motion was unanimously approved.  
Executive Golf - Alexis advised she has approximately 10 coordinators.  
Social - Val said she has plenty of volunteers through next February.  Brand new members are stepping up and even chairing socials.  
Charities/Photography - Carrie thanked Dave Colbert who took pictures last month at social and Tom Boylan and Pat Duffey gathered food and took to the Food Pantry.  The next 2 months there is a photo op of Food Pantry to send into newspaper.  November 19 Carrie will try for pictures of Steering Committee.  
Treasurer - Jim advised we have $7800 in treasury as of end of August.   
Michael nominated the current Steering Committee as Nominating Committee and the Nominating Committee then recommended we keep the current Steering Committee in place for the upcoming year.  All approved.  
Michael advised that there is a vacancy on the Executive Committee.  Discussion followed and Jim made a motion to have Barb fill the vacancy.  Alexis Seconded the motion.  Motion passed unanimously.  Michael, Val, Debbie, Carrie and Barb are now on the Executive Committee.  
Michael pointed out that there are 3 types of SGV members:  1) Year round residents,  2) Resident snowbirds, 3) Renters 1-4 months (these members could have a change in ID number.  If this happens, it was decided to work with the individual.)  
Michael informed us that the Churchill Street Rec. Center meeting room has been approved for next year.  He is awaiting confirmation of Seabreeze Rec. Ctr. for 2019.  
An incident at Nine and Dine was discussed and Liz will get with Bev Johnson to obtain the details and then contact the two offenders and explain it is not acceptable once foursomes are set to change the makeup of that foursome without the coordinator's approval.  
Michael, Barb, Judy and Alexis will be getting together on Sept 19 to discuss and research options for upgrading SGV website.  
Alexis mentioned that she needs help updating her contact list as it is not the same as the membership list.  She will contact Lou Ann and get this straightened out.  
Next regular meeting of SGV Steering Committee will be Monday, October 18, 2018 at Churchill Street Recreation Center at 9:00 am.

July 16, 2018
REGULAR MEETING
The regular meeting of the SGV Steering Committee was called to order by Permit Holder Michael Daugherty at  Churchill Street Recreation  Center at 9:06 a.m. on Monday July 16,  2018 with the following members present:  Michael Daugherty (Permit Holder), Val Hirsch (Asst. Permit Holder, Social Chair), Carrie Crowell (Charities, Photography), Judy Stafford (Recording Secretary), Jim Boylan (Treasurer),  Alexis London (Executive Golf), Liz Helsel (9 and Dine Golf), and Tony Carvalho (Member-at-Large).
Absent:   Debbie Ekback (Member Services),  Barb Burgio (18-Hole Golf), Lou Ann Divens (Sunshine) and Del Walters (Representing Seasonal Members) 
Michael explained that there was no meeting on May 21 as stated in March 19 minutes since a lot of the committee members were out of town.  
The minutes of the March 19 meeting were approved.  
Michael will check with Del Walters to see if she still wants to be on the Steering Committee as the last meeting she attended was May 15, 2017.  
Nine and Dine - Liz mentioned that we are having lots of participation and all is going well.
Treasurer - Jim advised that financially we are doing okay.  There is around $10,000 in SGV's bank account.  He does not have detailed access as to what goes in and out of  bank account electronically until 1-2 months after the fact when the bank statements come out.  At this time, there is no known way to rectify his ability to obtain information from the bank more quickly.  Sometimes Barb doesn't get Paypal information to Jim until after the first part of the month and the month-end report has already been completed.  All of this combined makes it very difficult to determine the actual monthly/annual income and disbursements on a timely basis.   
Tony stated that there are not as many "A" players golfing in Executive Golf and it makes it more difficult for the coordinators to even out the teams to make the play of the day fair.   A discussion followed with no action needed.  
Tony also brought up behavior at our after-golf socials at restaurants.  Membership needs to be reminded to have patience with the staff at restaurants when ordering as there are only so many restaurants who can accommodate the number of people we have attending.  Restaurants are inundated with 45-60 people within a 15-30 minute period and it's not fair to expect them to add a lot of extra help when we are only there for 60-90 minutes.  
Executive Golf - Alexis reviewed some of our rules for scramble including how to properly play a ghost player (2nd ball is the ghost).  Not everybody is doing this.  One suggestion is to designate a colored ball at the beginning of the round as the "ghost ball" and pass it to the person who is the ghost for that hole to use.   
Charities/Photography - Carrie stated that Tisha Vogell and Marilyn Wright did a good job taking photos at the June meeting.  Tom Boylan and Pat Duffey stepped up and took 5 carloads of food to the Wildwood Soup Kitchen.  Carrie will take a picture of the Steering Committee at the September meeting if everyone is in attendance as the website needs to be updated.  
Social - Val advised the Social Planning meeting went well.  Monthly meeting socials are planned through next March.  The May and June socials had 230 people in attendance and everybody who wanted to attend got in.   We have a luau, Halloween, and Holiday dinner/dance coming up.  In January we will have the Atlantic City Boys entertaining us.  
Michael explained how the website is working:
1.  Go-Daddy (website) - Judy is handling with Michael as backup
2.  Google (emails) - LuAnn is forwarding emails to appropriate persons with Michael as backup
3.  PayPal - Barb is doing the PayPal end with Michael as backup

If anyone needs anything, they should send an email to webmaster@sgvclub.com and it will be distributed to proper person for handling.  Val and Alexis also have the ability to send out emails from sgvclub.com.  
Monthly social flyer is compiled by Val who forwards to Michael at webmaster@sgvclub.com.  Barb then creates buttons in PayPal and lets Michael know they are created.  Judy then inserts them on flyer and posts on website and Michael sends email out to membership.  
Michael announced that Barb Burgio is working on a new Code of Conduct for the Club.  
A discussion was held on SGV policy regarding members who no longer have a valid Village resident or renter ID including golf privileges.  Judy advised that we have a past precedent on this procedure and that a person who does not have a valid Village resident or renter identification should be removed from SGV membership and refunded their dues.  
Val made a motion that Patricia Shena be removed from the SGV roles effective immediately due to not having proper Village ID.  Her member fee and payment for July social will be refunded.  She may reapply for SGV membership when new member applications are reopened and she meets eligibility requirements.  Tony seconded the motion.  Discussion followed.  The motion passed unanimously.  
Michael advised that he will be going in for surgery July 31st and will be incapacitated for approximately 6 weeks.  Val will run the August 30 monthly meeting.  
Next regular meeting of SGV Steering Committee will be Monday, September 17, 2018 at Churchill Street Recreation Center at 9:00 am.

Regular Meeting
 
The regular meeting of the SGV Steering Committee was called to order by Permit Holder Michael Daugherty at  Churchill Street Recreation  Center at 9:05 a.m. on Monday March 19, 2018 with the following members present:  Michael Daugherty (Permit Holder), Val Hirsch (Asst. Permit Holder, Social Chair), Carrie Crowell (Charities, Photography), Judy Stafford (Recording Secretary), Jim Boylan (Treasurer), Dennis Gaucher (Technology Chair), Debbie Ekback (Member Services), Alexis London (Executive Golf), Liz Helsel (9 and Dine Golf), Barb Burgio (18-Hole Golf), Lou Ann Divens (Sunshine), and Tony Carvalho (Member-at-Large).
 
Absent:   Del Walters (Representing Seasonal Members) 
 
Michael announced that Dennis will officially step down from his Technology Chair duties (website/Go-Daddy, PayPal, Google Mail) on April 14, 2018 and will be turning the SGV laptop over to Michael.  Judy and Michael will be handling Go-Daddy and website.  Lou Ann and Michael will be  doing Google Mail.  Deb, Barb and Michael will be in charge of PayPal.  
 
Minutes of previous special meeting were approved with minor spelling changes.  
 
Treasurer - Jim went over this year’s budget and we are right on target.  He reviewed the proposed 2018-2019 budget.  Val made a motion seconded by Michael that this proposed budget as offered be accepted with the understanding that the actual numbers will be tweaked once the membership numbers are determined after March 31st.  All approved.  
 
Tony brought up the seating arrangements at monthly meeting and the fact that people are saving seats  and it is hard to find a seat.  Members are not supposed to be saving seats.  Discussion followed.  Val said that every 3rd or 4th meeting wristbands will be handed out and there will be assigned seating.  
 
Technology Chair - Dennis advised that PayPal account is now associated with the SGV bank account.  Go Daddy is renewed another year.  Dennis will put all 3 accounts on auto pay before he leaves.  
 
Membership - Deb announced that to date there have been 427 members who have renewed and 147 new applications (39 of whom are re-applied applicants - 100 didn’t get in last year).   This totals 574.     These numbers will most likely change in the 12 days remaining in fiscal year.  Membership limit is currently at 575.
 
Charities/Photography - Carrie informed us that 3 cartloads of food items were taken to the Soup Kitchen after February monthly meeting.  Regarding photos at meetings, Carrie is finding it very difficult to reach tables in back of room to take pictures so asked that those wanting to have their pictures taken to let her know and she can arrange a place in the room to take pictures.  
 
Nine and Dine - Liz announced that May starts summer Nine and Dine in The Villages every Wednesday for 22 weeks.  There will be a coordinator’s appreciation meeting at Tom Boylan’s and Pat Duffy’s - date to be determined.  
 
Executive Golf - Alexis asked Barb to please keep prize money envelopes from 18-Hole Golf since very few of them play Exec Golf.  Barb will need to bring them to one monthly meeting.  
 
Social -  Val said socials are set up through June.  Trent Reeves is new Director of Golf and will be at the March monthly meeting.  Cheryl Veltman will be in charge of the April 28th meeting - Blackjack night.  Limit is 120 members.   Val and her 2 assistants (Kathy Bredesen and Diane Gebhardt) will all 3 be absent.  
 
Membership process and recommendations from sub-committee outlined in February 28 minutes were discussed but no action was take on their recommendation.  
 
Currently we have a by-law requiring all members to participate in 2 events yearly in order to maintain membership which would require extensive tracking of our 575 members.  Tony made a motion seconded by Alexis that we rescind this 2 event participation rule and tracking requirement approved on January 15 and remove from By-Laws.   (By-Law 14.c)   Discussion followed.  Motion passed by majority vote with 1 no vote.  
 
Dennis rescinded his tabled motion from 2/19/18 meeting regarding setting aside participation and tracking requirements and membership increase.  
 
Jim made a motion seconded by Tony:
 
Effective April 1 each year, the number of  membership openings will be determined.   If we have more applicants than openings, then the people currently on waitlist from the previous year and who reapplied (Re-applicants) will be first to be accepted  as members for current year.        
 
If there are more Re-applicants than available openings,  a lottery for Re-applicants only will be held.  Those Re-applicants not chosen along with New Member applicants will go on the waitlist for next year.  There will be no general lottery for New Member applicants.   
 
After filling the openings with Re-applicants and if there  are still openings available, these openings will be filled from the New Member applications using a lottery system.    Those New Member applicants not selected will go on the waitlist  for next year.   
 
Waitlist for Next Year:  The waitlist for next year will be prioritized by:                  
1) Re-applicants for 2 consecutive years
2) New member applicants from current year
 
Motion passed by majority vote with one abstention.  
 
Next regular meeting of SGV Steering Committee will be Monday, May 21, 2018 at Churchill Street Recreation Center at 9:00 am.

STEERING COMMITTEE MINUTES

February 19, 2018 SPECIAL MEETING

The special meeting of the SGV Steering Committee was called to order by Permit Holder Michael Daugherty at Seabreeze Recreational Center at 1:05 pm on Monday Feb 19, 2018 with the following members present:  Michael Daugherty (Permit Holder), Val Hirsch (Asst. Permit Holder, Social Chair), Carrie Crowell (Charities, Photography), Judy Stafford (Recording Secretary), Jim Boylan (Treasurer), Dennis Gaucher (Technology Chair), Debbie Ekback (Member Services), Alexis London (Executive Golf),  Barb Burgio (18-Hole Golf), and Lou Ann Divens (Sunshine).

Absent:  Liz Helsel (9 and Dine Golf), Del Walters (Representing Seasonal Members) and Tony Carvalho (Member-at-Large). 

Michael explained that the Technology Chair position is being split into 3 parts:  Go-Daddy, Google Mail For Business, and Pay Pal.  Training for temporary takeover is taking place.  The SGV Club needs to disassociate Dennis’ credit card from the above accounts.  Dennis will look into direct debits to Club’s checking account, working with Jim if necessary. 

Deb’s sub-committee on membership process came up with the following options:

1) Allow everybody in

2) Do nothing and leave current lottery as is

3) Give 100% of available openings to those who applied previous year but did not get in who reapply this year

4) Give 50% of available openings to those who applied previous year but did not get in who reapply this year.  This group would have to have their own lottery.  Remaining 50% would go into general lottery. 

This sub-committee also felt that if SGV keeps the 2 events per year participation rule, members should have to participate in at least 5 events throughout year.  They also would like to see a 9-hole Championship outing with prizes. 

The recommendation from the Membership sub-committee was option  #4.  

Additional discussion among the Steering Committee members included what is best for club, golf versus social, how many members to grow the Club, facility restrictions for a larger club enrollment, etc.  No motion was made in regards to the recommendation by the Membership sub-committee.

Dennis made a motion seconded by Jim that:

Participation and tracking requirements be set aside and membership be increased to 650 (now at 575).  If 650 members is not achieved, applications will remain open on website until 650 is reached.  If we have more applicants than openings, then the people currently on list from previous year who were not chosen and who reapplied will be first to be accepted as members for current year.  Remaining applicants will go into a lottery and those who do not make it go on waiting list for next year. 

This motion was tabled until March 19th meeting. 

Next regular meeting of SGV Steering Committee will be Monday, March 19, 2018 at Churchill Street Recreation Center at 9:00 am.

REGULAR MEETING

The regular meeting of the SGV Steering Committee was called to order by Permit Holder Michael Daugherty at the Churchill Street Recreation Center at 9:05 am on Monday, November 20, 2017 with the following members present:   Michael Daugherty (Permit Holder), Val Hirsch (Asst Permit Holder, Social Chair), Carrie Crowell (Charities, Photography), Judy Stafford (Recording Secretary), Jim Boylan (Treasurer), Dennis Gaucher (Technology Chair), Debbie Ekback (Member Services), Alexis London (Executive Golf), Liz Helsel (9 and Dine Golf), Barb Burgio (18-Hole Golf), and Tony Carvalho (Member-at-Large). 

Absent: Del Walters (Representing Seasonal Members) and Lou Ann Divens (Sunshine)

The minutes of the previous meeting were approved.       

Michael announced that the following dates have been confirmed with Seabreeze Rec. Center:

Random New Member Drawing - April 7, 2018 at 9:30 am

Member Orientation - May 5, 2018, 1:30-3:30 pm. 

Treasurer - Balance in treasury at end of October was $11,873.53. Jim submitted a copy of audit report completed by Pam Schau on July 27, 2017, which is to be included with the minutes.   She suggested an audit should be performed annually covering the fiscal year.  She also suggested monthly, or at least quarterly, financial status reports should be presented to Executive board for review and discussion.  Jim will see that this is implemented. 

Executive Golf – Different changes to the signup spreadsheet were discussed to help even out the playing field and it was decided to leave the spreadsheet as is.

Nine and Dine Golf – Liz reported a good outing at Orange Blossom Country Club.  We will be playing again on December 6.  She is only scheduling one outing a month right now.  Palmer, Lopez, Evans Prairie, and Orange Blossom are the only venues participating until May, but it looks as though we will have 10 courses next summer. 

Social

Holiday Dinner Dance

1) The table for food pantry will be in the lobby.  This way members won’t have to come into main room to put their food donations down.  Carrie will make a food pantry poster to put on an easel by table and members will be informed of this change in the email that goes out to membership for meeting.   

2) Val made a motion, seconded by Dennis that the Club’s ½ share of the 50-50 raffle money for November meeting be split between the Soup Kitchen and the Food Pantry.  Motion passed unanimously.  

3)  Michael will introduce Steering Committee at Holiday Dinner Dance and have them come up front. 

4)  219 members have signed up so far.  We can get 225 in the room with a medium-size dance floor. 

     Val will add the people currently on the waitlist and Dennis will invoice them. 

5)  Kathy Bredesen and Diane Gebhardt have agreed to be Val’s social co-coordinators.     

6)  Cost of Holiday Dinner Dance was discussed.  Members will be charged $20 ($10 of which they will get back if they attend.)

Val announced that Social events are planned out through February.  Barb Rehkemper

is chairing April and Peter Kierpiec is chairing May. 

Charity/Photography – Carrie has photos from the Himalayan putting outing and the Pro-Am which will be added to website.  She needs help with photography and delivering food to Food Pantry and Soup Kitchen.  She will include this in her email to members. 

Membership – Deb had nothing new.

Technology Chair – Dennis is still working on developing form to send out to members for them to complete when renewing their dues for the upcoming year.  In late January or early February new member applications will open up and then will close in late March.  Starting with the November Holiday Dinner/Dance, wrist bands will be issued for entrance into the meeting hall.  It is the intent that in the future, every time money is involved in a monthly meeting activity, wristbands will be issued. 

Dennis is desperately looking for people to help with modernization of the SGV website.  We currently are restricted to 10 pages.  Anyone interested should contact Dennis Gaucher at webmaster@sgvclub.com

18-Hole Championship Golf – Barb advised that she has run across handicap issues in working on venues while trying to keep teams even but has been working through them.  Bob Williams has been very helpful in her transition.  Venues are set through January.  Barb would like to find one more coordinator so that they only have to coordinate every other month.  Debbie suggested we add more 18-hole golf activities (off-site or priority).  Debbie and Barb will look into this. 

Val suggested that a letter go out to the membership letting them know areas where we need help, asking for volunteers:  (i.e. Technology, Exec Golf coordinators, 18-Hole golf coordinators, photography/charity).  Carrie and Barb will work on this. 

Member-at-Large – Tony advised that Churchill Green Golf Course is now open.  He suggested we emphasize pace of play to members and try to set examples ourselves.  Also, we need to make sure members repair the course if they make or see a divot. 

Liz suggested we have a get together for just golf coordinators (Exec, 18-Hole, Nine & Dine)…perhaps a potluck.  Liz and Alexis will work on this. 

The next meeting will be on Monday, January 15, 2018 at 9:00 am at Churchill Street Recreational Center. 

The meeting was adjourned at 10:45 am.
